Fulfillment Policy

This Fulfillment Policy outlines how we process donations, manage sponsorships, and ensure that every contribution directly supports our community programs and outreach initiatives.

1. Overview

Our fulfillment process covers all donations, partnerships, and volunteer commitments received through our website, events, or direct correspondence. We ensure that every transaction or pledge is handled with integrity, accuracy, and prompt acknowledgment.

2. Donation Confirmation

  • Donors will receive an email confirmation immediately after completing an online donation.

  • This confirmation will include the donation amount, transaction details, and acknowledgment of receipt.

  • For offline donations (check, bank transfer, or event contributions), confirmation will be issued within 5–7 business days of receipt.

3. Processing & Allocation

  • Donations are processed securely through trusted third-party payment gateways.

  • All funds are allocated toward SAMCO Hope Foundation programs, including education, community assistance, and health initiatives, as specified or most urgently needed.

  • Designated gifts or restricted donations are used solely for their intended purposes.

4. Acknowledgment Receipts

  • All donors will receive an official acknowledgment receipt via email or mail.

  • For recurring donors, a summary receipt can be issued annually upon request.

  • These receipts may be used for recordkeeping or tax documentation, depending on local regulations.

5. Volunteer & Partnership Fulfillment

  • Volunteer applications are reviewed within 5–10 business days of submission.

  • Once approved, volunteers receive confirmation and next-step details via email.

  • Corporate and community partners receive a written Memorandum of Understanding (MOU) outlining agreed commitments and timelines.

6. Cancellations & Modifications

  • If a donor wishes to cancel a recurring donation, they may contact us at info@samcohopefoundation.org.

  • Cancellations are processed within 3–5 business days, and any future scheduled donations will be stopped immediately.

  • Once a donation has been processed, it cannot be reversed unless made in error.

7. Refund Policy

  • Donations are generally non-refundable, as they are immediately directed toward active community programs.

  • In the case of duplicate transactions or processing errors, please contact us within 7 days of the donation for review.

  • Refunds for such errors will be issued within 10 business days after verification.

8. Transparency & Accountability

  • SAMCO Hope Foundation Inc. maintains full transparency in the use of donated funds.

  • Annual reports and program impact updates are available to donors and the public through our website or by request.
